Why Microsoft 365 is rarely set up the way it was meant to be

Almost nobody chooses Microsoft 365 deliberately, all at once. You started with mail, Teams was added later because it had to be, then everyone got a OneDrive, and somewhere along the way a SharePoint appeared. Nobody ever decided how it should look; it just grew. The result works, but the same folder sits in three places and nobody knows which version is the latest.

So we don't start with the features, we start with the foundation. MFA on every account, admin rights separated from the account someone works in every day, and access rules that take into account which device and which location a login comes from. Then the structure: teams and document libraries where permissions follow a role instead of a person. And laptops and phones rolled out, encrypted and checked through Intune.

What your colleagues notice is that search returns something useful again. That sharing a file with a client no longer means a forty megabyte attachment. That a new hire has a working laptop on their first morning, with the right folders already on it. And that someone who leaves loses access the same day, while their files stay where the team needs them.

  • Custom work in Power Apps, Power Automate or SharePoint development. Small automations we do; larger builds run as a project
