In brief
Why a backup only counts once you have restored from it
Almost every company has a backup. Far fewer companies know what is actually in it, how old it is and who can restore it. You find out the difference on the day you need it — when someone has emptied a folder, when a server refuses to boot, or when ransomware has walked through your network and the files come back unreadable.
The 3-2-1 principle is the basis: three copies of your data, on two different types of storage, one of them outside your own location. On top of that we lock down at least one copy so it cannot be changed or deleted within its retention period — not even by an administrator account that has been stolen. Ransomware goes looking for your backups first. How often a copy is made determines how much work you redo in the worst case; we agree that per system.
Day to day you notice little of it, until something goes wrong. What you do notice is the conversation up front: which systems have to come back first, how many hours of work you can afford to lose in the worst case, and who calls whom. We write that down in a recovery plan. And we periodically pull a random file or a whole server out of the backup, to see whether it works. A backup that has never been tested is an assumption.

- 01A backup is running, but nobody knows when something was last restored from it — or whether that has ever succeeded at all.
- 02You assume Microsoft keeps your mail and SharePoint files. Exactly how long, and what happens after that, nobody has ever checked.
- 03Your backup sits on a disk or NAS in the same server room. A fire, a leak or a break-in takes the original and the copy.
- 04Someone asks how many hours of work you would have lost if the server had died this morning, and the room goes quiet.

- Data outside the agreed systems: a folder on someone's personal laptop or a cloud service nobody told us about is not included.
- A guarantee that you are running again within a fixed number of hours — recovery speed depends on volume, cause and hardware. We agree up front what is realistic.
- The investigation after an incident: who got in and how. We help with recovery; forensics and notifying the regulator are a separate track.
